Setting up your teams

Note

To view and manage your teams go to Admin > Teams.

Once you have Users and Roles set up, you may want to create your team structure.

Teams are used in VettingGateway to manage your workload and performance monitoring. You can configure VettingGateway to allocate certain profiles to specific teams, run reports for profiles which are assigned to a team, and distribute your workload. VettingGateway allows you to create your teams to mirror your existing business structure.

Creating a new team

To create a new team, please go to Admin > Teams, and click the Create a new team button in the top right of the screen. You will then be prompted to enter a name for your new team, and you can optionally add a description if one is required.

Underneath these fields, there will be a number of checkboxes for each of your Custom Bundles that have been created. Ticking the boxes beside any of these Bundles will automatically assign any profiles that utilise the selected Bundles to this team. You can select as many or as few as you'd like, including none if you do not want any profiles to be automatically assigned to this team.

Once you have finished, click the Create Team button.

Allocating to a team

Once you have created your teams, you can allocate applicant profiles to them so that work lands with the right people. You can allocate at several points:

  • At the point of invite — allocate the applicant as you invite them. On a single invite, use the Teams (optional) field in the applicant details; when inviting in bulk, add the team name(s) to the CSV. Leave teams blank to let your organisation's allocation settings take over when the applicant submits.
  • After inviting — allocate individually from the Invitations page, or in bulk from the Profiles page, where you can also remove profiles from teams.

Note

The Teams field appears on single invites only. When inviting applicants in bulk, allocate teams by adding the team name(s) to the CSV instead — separate multiple teams with a pipe or semicolon (e.g. Team A|Team B or Team A; Team B).

Deleting a team

You can delete a team at any time. Any profiles assigned to this team will be unassigned and will be displayed in your Outstanding Tasks until they are assigned to a new team.

Restoring a deleted team

If you accidentally delete a team, you can restore it up to 7 days after it was deleted.

To restore a team, go to Admin > Teams and click the Show recently deleted button. This page will display a list of any teams that have been deleted within the last 7 days. Click the Restore button beside the desired team and it will be restored to the main Team Management page.

Please note that restoring a team does not automatically reallocate previously assigned profiles back to this team.
