Reviewing References¶
Whether completed online, by email or imported from a hardcopy, references retrieved from referees need to be reviewed and verified. VettingGateway provides you with a quick and easy way to work through outstanding references.
Processing a reference¶
On the References > All References page you'll find a list of all outstanding references awaiting processing.
By default the references will be shown in oldest first order, however you may filter the results using the dropdown at the top of the area. You may also search for a reference using the search field.
Find a reference you wish to process and click on it. The reference document will appear to right side of the screen and the process form to the left.
Check the reference¶
Review the mentioned checklist and cross check it with the document. When you feel each point is true, click on it to turn it green, meaning you've verified the statement.
Check the periods provided by the referee match the ones within the periods section, otherwise amend the dates. Also, click the 'Referee' tab and check the name, email and phone details are accurate.
Approving the reference¶
If you're happy with the reference and believe it to be admissible, click the 'Approve' button. The reference has now been processed and the matching period on the applicants profile will be marked as 'Approved'.
Should you need to query discrepancies with the referee, you may contact them directly. Ensure you let VettingGateway know of this, by typing your reason for quering into the text box and then clicking the 'Query with referee' button. The matching period on the applicants profile will be marked as 'Queried with referee'. Once the query has been resolved you may return the reference and click 'Approve'.
If the reference is unacceptable, type into the text box the reason and then click 'Reject'. The matching period on the applicants profile will be marked as 'Rejected'.
Auto Review References¶
The Auto Review References feature allows Vetting Gateway to automatically compare the information submitted by an applicant against the data returned by their referee. When a reference is received, Vetting Gateway checks for discrepancies between the two — such as differences in names, employment dates, or contact details - and either flags them for manual review or applies the updates automatically, depending on how you have configured your bundle.
This feature is particularly useful for organisations processing high volumes of references, where manually checking every returned reference for data differences would be time-consuming. By automating this comparison, your team can focus attention only on the cases that genuinely need review, reducing admin overhead and speeding up the overall vetting process.
