Reference Templates¶
When referees provide a reference they'll be asked a series of questions about themselves and the applicant. These questions are determined by 'Reference Templates' and are completely customisable.
VettingGateway has a number of default templates that allow you to get started quickly. However if you've created any custom templates, when you request a reference you'll be able to pick which template you would like to use.
Templates are associated with reference types, such as 'Full Time Employment' or 'Voluntary Work', which allow you to tailor the templates to ask specific questions based on the referee you'll be approaching.
Create a new template¶
To create a new template click the 'Create a new template' button. Or you can edit an existing template by clicking the pencil icon beside it. Both of these links will take you to the reference template form, which will contain the following fields:
Description¶
Provide this template with a recognisable name, and also provide a detailed description of when this template should be used.
Fields type¶
Each question is represented within a box with a dotted grey outline. Using your mouse you may drag and drop the order of questions.
Insert a new question by clicking the 'Add another field' button at the bottom of the area. To remove a question click the 'Remove this field' button.
Inside questions you'll see the following fields which need completing:
-
Question - Type the question you'll be asking the referee.
-
Field Type - Decide how the referee can answer this question. For example, if they need to type free text, pick the 'Multi Line Input' option, or if they need to provide a date select 'Date'.
After selecting the type of question, you may be presented with further fields, such as comma separated options or placeholder text.
-
Require An Answer - If the question is mandatory check the 'An answer is required' tick-box.
-
Associations - From the list pick the period(s) this reference may be used for. For example, if the reference is only for Voluntary periods, tick 'Voluntary'.
-
Save Changes - To create or update the reference template click the 'Save template' button within the associations section.
Restore Templates¶
If you've accidentally deleted a template, you may restore it for up to 7 days after deletion. Click the 'Show Recently Deleted' button and deleted templates will now appear in the results. To restore a template click the 'Restore' button beside it.
Default Templates¶
You may view but not change default templates. From the reference template settings page click on a default template and you'll be shown all of these questions and associations for the template. If the fields are greyed out, this will prevent the data from being changed.
