Additional Checks

An additional check is a supplementary action required to complete an applicant's profile. For example, this might involve performing a Criminal Record Check, or asking your applicant to undergo their General Security Awareness Training.

These checks are typically included in a default bundle during the applicant invitation process. However they can be added either through a customer bundle, or added to applicants profile after they have been invited.

How to request an Additional Check

Criminal Record Check

Begin by choosing how the DBS check will be obtained:

  • Via VettingGateway: This option will deduct 1 DBS credit from your account.
  • Externally: The DBS check may be obtained outside the platform, either by the applicant or the organisation.

You can select one of the following levels of check for the applicant:

  • Basic
  • Standard
  • Enhanced

Enter Applicant Details

  • Fill in the required basic information for the applicant. Once completed, click 'Save Changes'.

Initiate the DBS Check

  • After saving, a Perform New Check button will appear on the right-hand side of the panel. Click this button to request the DBS check.

Access Auto-Retrieval Information

  • Once the check has been requested, the system will generate a new Auto-Retrieval section. Within this section, you will find the applicant’s E Number, which can be used to track the status and updates of the DBS request via the official DBS website.

Note

You must select at least one document for DBS submission. To request a CRC, you must have at least one valid Proof of Identity document (i.e Passport, Driving Licence, National ID Card or Birth Certificate). Go to the Documents section of the profile to add or update an ID document. Make sure you set it as the correct type and select “Use this document for DBS submission.” Once done, you’ll be able to request the CRC.

General Security Awareness Training (GSAT)

As per UK Aviation Regulations, the General Security Awareness Training cannot be conducted until the applicant has undergone an appropriate level of background checks. When you have fully verified the applicants whereabouts for the referencing period, and all CRCs have been recieved, VettingGateway will allow a GSAT training link to be sent to the applicant.

Note

You cannot add a GSAT as an Additional Check on a manually created profile.

Uploading results

Once you've obtained the result of a check you'll need to upload it. Upon changing the status to 'Completed', a supporting evidence field will be shown.

To upload the document click into the field and locate the file on your device, before clicking 'Save Changes'.

Note

The file must be of PDF format.

Tracking activity

Every change to checks are tracked by VettingGateway, which you can view by clicking the activity icon. For example, you can see when details were updated or when a status was changed.
