Applicant Journey

For your application you will be asked to provide core information about yourself.

In order to perform background checks, VettingGateway must be informed of your whereabouts and activities during the referencing period (which is typically the past 5 years), however the timespan may vary depending on the organisation that is referencing you.

You'll be taken through a number of sections, answering one question at a time. Once you've answered all the questions for a given section you'll be shown a summary page, where you can review the information and make corrections.

Referees
Requirements and Exclusions

Gap referees would normally be your close friends. However, people you are in regular contact with may be eligible to be a referee. However, people that fall into any of the following categories cannot act as a referee:

  • Members of your family
  • Relations by blood or marriage
  • People living at the same address as you
  • People under the age of 16

  • Name

  • Email

  • Phone Number

  • Postal Address

  • In what capacity do you know this person?

  • How many years have you known this person?

Additional Documentation
Proof of Address Document

Examples of acceptable documents include; bank statements, council tax statement, utility bills, driving licence or letters from a government agency. Documents must:

  • Include your full address
  • Display the same name specified on your identity document
  • Be dated within 3 months of now, or, 12 months for council tax letters
  • Have been received through the post and not printed from online portals
Proof of Identity

Examples of acceptable documents include:

  • Passport
  • Driver Licence
  • National ID Card
  • Biometric Residency Permit
  • Warrant Card
Consent
Vetting Consent

Before we can start work on your profile, we need you to consent to our background checks. Please read the below statement, and sign using your mouse at the bottom of this page.

I, (Name) authorise (Sponsor Organisation) to approach individuals and the organisations listed below in order to verify my activities and whereabouts for the purposes of a background checking process.

  • Personal referees

  • Character referees

  • Professional advisors (accountants / solicitors etc)

  • Criminal record bureaus

  • Credit referencing agencies

  • Control authorities

I also authorise (Sponsor Organisation) to transfer its findings together with any other information obtained as part of the background checking process to relevant 3rd parties who are required to receive the findings in relation to this specific application.

I understand that by giving this authorisation I am consenting to the sharing of my personal data with the relevant groups listed above in relation to this specific application.

You will be asked if you have lived at any previous addresses (that fall inside the reference period). If you Select 'Yes' you will be asked to provide information for the below:

  • What was your previous address?

  • What date did you start living here?

  • What date did you stop living here?

Character Referees

VettingGateway requires the details of other people who can confirm (to the best of their knowledge) that there isn't anything known about you which suggests a lack of integrity. VettingGateway will refer to these people 'Character Referees' and they'll be asked to confirm if you are of sound character and if there is anything known which reflects adversely upon you.

The following people may not act as a character referee:

  • Family members
  • Blood-relatives
  • Current or ex relatives or partners
  • People living at the same address as you
  • People under the age of 16

On the page you will be shown how many character referees are required and asked the following questions for each referee:

  • Enter the full name of the person acting as a referee
  • Type their email address into the field
  • Type their phone number into the field
  • Describe how you know this person. For example; 'Partner'

Education History

Have you been in formal education in the last X years?

Select 'Yes' if you've been in school, college or university during the referencing period. Otherwise select 'No' and you'll be taken to the section summary screen.

Have you studied anywhere else in the last X years?

If you've studied somewhere else during the referencing period please select 'Yes' and you'll be taken through the above questions again. Repeat this process until you've added all education periods. Once finished select 'No' to this question and you'll then be taken to the section summary page.

Periods of Unemployment

Have you claimed any unemployment benefits in the last X years?

Select 'Yes' if you've claimed any unemployment benefits during the referencing period. For example, Job Seekers Allowance or Universal credit. This only applies to benefits which are to help support you whilst you're looking for work, other benefits such as child benefits are not required for this purpose. Otherwise select 'No' and you'll be taken to the section summary screen.
