What you will need

Once you receive your invitation link, we'll let you know exactly what information we require from you. Depending on the checks you are undergoing, we may need one or more of the following pieces of information.

A computer, tablet or smartphone

Your details and documents are provided to your organisation through the VettingGateway website. VettingGateway can be used on all internet connected devices through a web browser such as Google Chrome or Mozilla Firefox.

Proof of your identity

We'll need to verify your identity before starting your checks. In order for your identity to be verified, you'll need to provide an acceptable government issued identity document. You'll need to provide us with a scan or image of this document - there is no need for us to see the original, however your employer may ask to see this as part of their business processes. The following documents are acceptable:

  • Passport
  • Driving Licence (Photocard)
  • European Union Citizenship/Identity Card
  • Biometric Residency Permit
  • Government Issued Photo ID

Note

Depending on the checks you are undergoing, some specific documents may be required. For example, if you require a United Kingdom Criminal Record Check you must provide a Passport or UK issued driving licence. We'll let you know once you activate your profile if any limitations apply to your profile.

Proof of your current address

In most cases, we'll need you to provide proof of your current address so that we're able to process some additional checks such as criminal record checks, or credit searches. We'll ask you for this information if it is required, letting you know the purpose for which it is required. In the event that you're asked to provide a document proving your current address, you will need to provide one of the following documents:

  • Bank, building society or savings statement (which has been posted to your home address)
  • Energy provider bill or statement
  • Mortgage statement
  • Photographic ID (which displays your full address)
  • Correspondence between you and a government authority regarding the receipt of benefits such as a pension, unemployment benefits, housing benefits, etc.

Note

Your proof of address document must be dated within the last 3 months (from the point you upload it to your profile), and it must show your current address in full.

Travel evidence

If you have spent any time travelling overseas recently you may be asked to provide evidence of your trip so that we are able to fully verify your whereabouts. If your profile requires this information to be provided you will need to scan or upload one of the following pieces of evidence:

  • Passport entry stamps
  • Flight tickets
  • Bank statement(s) showing transactions within the country or countries
  • Receipts for excursions, hotels or activities whilst in the country or countries

Criminal record certificates

Depending on your profile, you may be asked to obtain a criminal record certificate. If you have recently obtained a certificate for a requested country you will be given the opportunity to upload this in order to speed up your checks. If this applies to you, have a scan or photo of the certificate ready to upload.

Evidence of employment

In some cases, you may be asked to provide additional evidence of your employment with a company. Often, companies that are no longer trading will not be able to provide a reference. In these circumstances, we'll ask you to provide one of the following documents for verification. Don't worry, we'll ask you if we need you to provide any of these documents.

  • Payslips
  • Tax office statement
  • Bank statements showing payments from the company

HMRC Integration

You may be asked to provide information so that VettingGateway can obtain a HMRC tax statement. Background checks often require confirmation of previous employment and income history. HMRC holds official records that help verify these details, but only for individuals with UK employment history.

Have you worked in the UK in the last 5 years?

Before you proceed, we need to know whether you've had any previous employment in the UK. HMRC (His Majesty's Revenue and Customs) can only provide employment records and tax information for individuals who have worked in the UK.

If you've never worked in the UK, there's no need to continue with this step as there won't be any records available to download.

If you're unsure whether you've worked in the UK before, consider whether you've ever had a UK National Insurance number or received a payslip from a UK employer.

How to obtain your HMRC document

To complete this step, you'll need to download proof of income from the HMRC portal. Please follow the instructions below to sign in to your Government Gateway account, access your PAYE records, and save the required document as a PDF before uploading it. If you don't have a Government Gateway account, you can create one during the sign-in process.

Please take a moment to review the data and make any necessary changes:

  • Edit employer names or dates if something doesn't look right — for example, the company name on your tax record might be different than your employers name.
  • Remove any periods that you don't recognise or that don't seem accurate. This step ensures your employment history is correct before we use it for background checks.

If everything looks accurate, you can go ahead and confirm the details.
